Developing an Effective Statement of Work for Indirect Categories
An effective Statement of Work (SOW) ensures that the scope and expectations for an RFQ are clearly understood by suppliers. Done correctly, a well-constructed SOW helps prevent:
- Scope creep
- Missed deadlines
- Contractual disputes
Here are 7 steps to developing an effective SOW for indirect categories
- Engage stakeholders and suppliers early
Involve both internal stakeholders and potential supplier early in the process to identify potential challenges and innovative solutions that can be incorporated into the SOW. This collaborative approach helps ensure the SOW is realistic, feasible, and aligned with stakeholder needs. - Define the scope of work
Clearly define the work to be performed, including specific tasks, services, and products to be delivered. Clearly define what is included in the pricing vs. when additional costs should be expected. - Establish timelines and milestones
Identify key deliverables and milestones and set realistic deadlines. For capital projects and other complex implementations, break down the timing into manageable segments. - Specify performance standards
Wherever possible, establish objectives in a SMART format (specific, measurable, attainable, realistic, time-bound). Include both process objectives and results objectives. - Outline roles and responsibilities
Clearly define roles and responsibilities of the buyer and supplier. For capital projects and other complex implementations, specify who is responsible for different parts of the project. - Incorporate payment terms and conditions
Include detailed payment terms based on deliverables or project milestones.
Ensure that the payment schedule aligns with the work completed and is linked to specific performance or delivery criteria. - Review the SOW and validate with stakeholders
Review the draft SOW draft with key stakeholders and select supplier to ensure alignment and clarity and update the document based on feedback.
